Privacy Policy
Last updated 15 October 2026
This policy explains how Ageing Navigator collects, uses, stores and protects your information when you use the Family Ageing Questionnaire and your Family Ageing Action Plan at plan.ageingnavigator.com. We follow the Privacy Act 2020 and the Health Information Privacy Code 2020.
The short version
- We use your answers to prepare your free Family Ageing Action Plan, and to help you if you ask us to.
- Your information is stored securely in Australia and kept for up to 12 months.
- Only the Ageing Navigator team, and our developer who maintains the service, can see it. We do not sell it, and we do not share it with other organisations, including Home Carers, without your permission.
- We do not use artificial intelligence (AI) with your answers.
- You can ask to see, correct or delete your information at any time.
What we collect
When you complete the questionnaire, we collect:
- your answers about the older person's situation. Most are choices, such as an age range and their health, care, living and financial circumstances;
- the older person's first name, and their preferred name if you give it;
- your name, your email address and, if you give it, your phone number;
- how you heard about us, and the organisation whose link you used, if any;
- when you gave your agreement before starting, and whether you asked for our news.
If you use your plan page, we also collect:
- a request for help coordinating your next steps: what you would like help with, how and when to contact you, and anything you add;
- your feedback on the plan, if you give it.
We do not ask for dates of birth, payment details or documents. Please do not include passwords, account numbers or detailed medical records in your answers.
If you answer for someone else, please make sure they agree, or that you are acting in their interests.
How we use it
- To prepare your Action Plan from Ageing Navigator's own wording, and to show it and email it to you as soon as you finish. A member of our team may also read your plan and send you an updated version.
- To email you a private link to your plan.
- To contact you about your plan or your request for help, in the way you chose.
- To improve the service. For this we use answers without names, contact details or anything typed in your own words.
- To send you occasional news, only if you asked for it.
We do not use AI to prepare plans, and no AI service receives your answers.
Who can see it
- The Ageing Navigator team. Each team member signs in with their own account.
- Our developer, who has technical access in order to maintain the service for us.
- You, through the private link we email you. The link opens only your plan, and stops working when we send you a new one or delete your information. The PDF of your plan contains no link.
We do not share your information with other organisations, including Home Carers, without your permission. If you ask us to help coordinate support, we will ask you before we contact anyone about you. We would share information without your permission only where the law requires or allows it, for example to prevent a serious threat to someone's health or safety.
Where it is stored
Your information is stored in a secure database in Sydney, Australia. We use these service providers, which store or process information only to provide their service to us:
- Supabase: our database, in Sydney, Australia.
- Vercel: runs this website. The part that handles your answers runs in Sydney.
- Resend: sends our emails, through its servers in Japan. Our emails contain links and reference numbers, never your answers.
These companies are based in the United States. Each keeps short-term technical records, such as server logs, under its own terms.
In your browser
While you complete the questionnaire, your answers are saved in your own browser, so you can come back to them. They stay on your device until you send them or choose Start again. On a shared computer, please do one or the other before you leave.
We do not use cookies to track you or for advertising. The only cookie on this website is the sign-in cookie for our team.
How we protect it
- Every connection to this website, and between this website and our database, is encrypted.
- Only this website's server can reach the database, and only our team can sign in.
- Our emails never contain your answers.
- Our own records of how the website runs contain no personal information.
How long we keep it
We delete your information 12 months after your plan is sent, or sooner if you ask. Deletion runs automatically every day. Deleted information may remain for a short time in secure backups, until they expire. We keep anonymous counts, such as how many plans were sent, which cannot identify you.
Your rights
You can ask to see the information we hold about you, and ask us to correct it. You can also ask us to delete it, or to stop sending you news. Email paul@ageingnavigator.com. We will reply as soon as we can, and within 20 working days. We may need to check who you are before we share or change anything.
Questions and complaints
Our privacy officer is Paul McLaren. For any question about your information, or to make a complaint, email paul@ageingnavigator.com.
If you are not satisfied with our response, you can complain to the Office of the Privacy Commissioner: privacy.org.nz or 0800 803 909.
Changes to this policy
We may update this policy as the service develops. The date at the top shows when it last changed.
